Bookkeeping Services for Contractors and Growing Businesses
Keep your financial records organized, reconciled, and ready for better decision-making without adding another full-time position to your office.
Veristra provides ongoing monthly bookkeeping, account reconciliations, transaction categorization, vendor-bill support, approved payment scheduling, financial reporting, and cleanup services using QuickBooks or structured spreadsheet workflows.
Clearer Records for a Better-Managed Business
Growing companies manage bank accounts, credit cards, vendor bills, deposits, loans, recurring expenses, customer payments, and important financial documents.
When transactions are not categorized consistently or accounts are not reconciled on time, it becomes harder to understand the company’s actual financial position.
Veristra creates a recurring bookkeeping process that helps your business:
-
Keep bank and credit-card accounts reconciled
-
Categorize income and expenses consistently
-
Identify missing or unresolved transactions
-
Maintain more current financial records
-
Review performance through recurring reports
-
Keep vendor and W-9 information organized
-
Prepare cleaner records for CPA review
-
Reduce the time owners and internal personnel spend maintaining the books

Bookkeeping Support Based on the Condition of Your Records
Need Help With Customer Invoicing and Payment Follow-Up?
Invoice preparation, customer statements, and active follow-up by phone, email, or text are handled through our separate Accounts Receivable and Collections Support service.
The bookkeeping team records invoices and payments within the accounting system but does not actively manage customer collections unless that separate service is included.
Practical Financial-Record Support for Your Business
Bank and Credit-Card Reconciliations
We compare the bookkeeping records against bank and credit-card activity to identify differences, missing transactions, duplicate entries, and unresolved balances.
Bill-Payment Support
We can prepare and schedule approved payments through QuickBooks, the customer’s bank platform, or another approved system.
The individual appointed by the customer always retains final payment authorization.
Transaction Categorization
Income and expenses are organized using an agreed chart of accounts and consistent bookkeeping procedures.
Vendor, W-9, and 1099 Support
Veristra can collect W-9 information, maintain vendor records, track potentially reportable payments, and prepare 1099 information for customer or CPA review. When filing support is included, filing is completed through a customer-approved system after final customer approval.
Vendor Bills
We enter and organize approved vendor bills and supporting documentation within the agreed accounting workflow.
Monthly Financial Reporting
Monthly bookkeeping customers receive a profit and loss statement, balance sheet, cash-flow statement, and the other reporting included in their package.
Bookkeeping That Works With Your Existing System
QuickBooks Online
Cloud-based bookkeeping, reconciliations, reporting, and record maintenance using customer-approved access and permissions.

Structured Spreadsheet Bookkeeping
For companies that prefer a traditional spreadsheet system, Veristra can create a standardized bookkeeping workbook or improve the customer’s existing spreadsheet structure.

QuickBooks Desktop
Bookkeeping support for businesses that continue to maintain their financial records through QuickBooks Desktop.

Cash-Basis and Accrual-Basis Bookkeeping
Veristra maintains the accounting basis already reflected in the customer’s books or follows instructions from the customer or their CPA.
We do not independently provide tax-method advice.

Free Discovery and Bookkeeping Review
01 — Complete Your Free Bookkeeping Review
We review the prior two to three years of available books, the accounting system, number of accounts, transaction volume, record condition, reporting needs, and current workflow.
The review helps us determine the complexity and recommended service package. It does not include completed reconciliations, corrections, tax advice, or an audit.
02 — Scope and Fixed Monthly Pricing
We define the responsibilities, access requirements, approval procedures, reporting schedule, cleanup needs, and fixed monthly package.
03 — Onboarding and Workflow Setup
We establish the accounting system, dedicated email process, document flow, account permissions, responsible customer contacts, and recurring deadlines.
There is no separate onboarding fee. Onboarding is included with the first month of service.
04 — Cleanup and Catch-Up, When Needed
Current-year catch-up and previous-year cleanup can proceed alongside the ongoing monthly bookkeeping process.
05 — Ongoing Monthly Bookkeeping
Our team categorizes transactions, reconciles accounts, organizes vendor bills, prepares approved payments, tracks open items, and maintains the agreed financial records.
06 — Quality-Control Review
The month’s activity is reviewed for unresolved differences, unusual balances, missing documentation, and consistency with the agreed process.
07 — Reporting and Open Items
You receive the financial reports, reconciliation summaries, and a list of missing information or questions requiring management attention.
08 — CPA Coordination
When authorized, we organize the applicable records and reports for review by the customer’s CPA or tax professional.
Fixed Monthly Bookkeeping Packages
Monthly bookkeeping packages generally range from:
$350–$1,500 per month
Final pricing is determined after the free discovery review and is based on:
-
Monthly transaction volume and transaction types
-
Number of bank and credit-card accounts
-
Accounting or spreadsheet system
-
Current condition of the books
-
Reporting requirements
-
Vendor and payment workflow
-
Number of locations
-
Number of legal entities
-
Document volume
-
Other account-specific complexities
Standard pricing covers one legal entity.
Businesses with multiple legal entities, companies, or accounting files receive customized pricing.
The first month’s payment is due when the agreement is signed.
Onboarding is included with the first month at no additional charge.

Current-Year Catch-Up
When the current year is behind, the affected months are generally billed retroactively at the same fixed monthly rate established for ongoing service.
For example, if the monthly package is $500 and six prior months of the current year require catch-up work, the standard catch-up price would be six months multiplied by $500.
Payment arrangements may be negotiated depending on the amount of catch-up work and the customer’s circumstances.
Prior-Year Cleanup
Cleanup of previous years starts at:
$750 per Year
Final cleanup pricing depends on:
-
Number of affected accounts
-
Transaction volume
-
Condition of the records
-
Available documentation
-
Reconciliation status
-
Number of legal entities
-
Amount of correction or reconstruction required
Prior-year cleanup and current monthly bookkeeping may proceed simultaneously.

Frequently Asked Questions
1. Do you support QuickBooks and spreadsheets?
Yes. Veristra supports QuickBooks Online, QuickBooks Desktop, and structured spreadsheet-based bookkeeping. For spreadsheet customers, we can create a standardized workbook or improve the customer’s existing system. The customer retains ownership of the completed workbook and receives updated files and reports each month.
2. How much does monthly bookkeeping cost?
Fixed monthly packages generally range from $350 to $1,500 for one legal entity. Final pricing is established after a free discovery review of the transaction volume, number of accounts, bookkeeping system, record condition, reporting requirements, payment workflow, and overall complexity.
3. What does the free discovery review include?
Our team reviews the prior two to three years of available books, accounting system, bank and credit-card accounts, transaction volume, record condition, reporting needs, and current workflow. The review helps us determine the service scope and price. It does not include completed reconciliations, corrections, tax advice, or an audit.
4. Is onboarding free?
There is no separate onboarding fee. Onboarding is included with the first month of service, and the first month’s payment is due when the agreement is signed. Current-year catch-up and prior-year cleanup are billed separately.
5. How is current-year catch-up priced?
Months from the current year that require catch-up are generally billed at the same monthly rate established for ongoing service. Payment arrangements may be discussed when a significant number of months require catch-up work.
6. Can current bookkeeping and historical cleanup happen at the same time?
Yes. Current monthly bookkeeping and prior-period cleanup can be completed simultaneously when the available records and workflow allow it.
7. How much does prior-year cleanup cost?
Prior-year cleanup starts at $750 per year. Final pricing depends on the affected periods, number of accounts, transaction volume, available documentation, reconciliation status, and condition of the books.

Reports are delivered by the fifteenth of the following month when all required documents, statements, and responses are received by the third. When information is provided after the third, Veristra communicates an adjusted delivery date.
10. Do you support cash-basis and accrual-basis bookkeeping?
Yes. Veristra supports both methods. We continue using the basis already reflected in the books or follow written instructions from the customer or their CPA. Veristra does not independently provide tax-method advice.
11. Can you prepare and file 1099 forms?
Yes. When included in the service, Veristra can collect W-9 information, maintain vendor records, prepare applicable 1099 forms, and coordinate electronic or paper filing through the approved filing system. The customer must review and approve the final vendor and filing information. Veristra does not prepare income-tax returns or provide tax advice.
12. Can Veristra schedule bill payments?
Yes, when included in the agreed scope. Payments may be prepared and scheduled through QuickBooks, the customer’s bank platform, or another approved system. The customer-appointed person always retains final authorization.
13. Do you prepare or send customer invoices?
No. Invoice preparation, delivery, payment reminders, and active follow-up are handled through our separate Accounts Receivable and Collections Support service. The bookkeeping team records invoices and customer payments that have already been created or received.

Standard pricing covers one legal entity. Businesses with multiple legal entities, companies, accounting files, or locations receive customized pricing after the discovery review.
