Roofing Supplement Management

Roofing Supplement Management for Contractors

When an initial estimate does not fully reflect the documented repair scope, Veristra helps your team prepare and manage a complete contractor supplement package.

We write the underlying Xactimate estimate, organize the photo report, add applicable code and manufacturer support, and manage estimate-related email and phone communication with adjusters.

Start With a No-Cost Preliminary Review

Not sure whether the existing estimate accurately represents the documented repair scope?

Send us the estimate, measurements, photographs, and project information you currently have. Our team will perform a preliminary review and explain whether the file appears to require:

  • A new Xactimate estimate

  • Additional measurements or photographs

  • Code or manufacturer documentation

  • A contractor supplement package

  • More information before the project can be evaluated

You do not need to have every document organized before contacting us. We will review what is available and identify what else may be required.

*The free review is an initial evaluation of the information provided. It does not include a completed line-by-line supplement audit, policy interpretation, coverage analysis, or finished Xactimate estimate.

Why We Manage Supplements Only From Veristra-Written Estimates

Veristra provides supplement management only when our team prepares the underlying Xactimate estimate.

This allows us to verify and support every part of the contractor estimate before communicating about it, including:

  • Measurements and quantities

  • Xactimate line items

  • Labor operations

  • Estimate notes

  • Repair requirements

  • Photo documentation

  • Code references

  • Manufacturer instructions

  • Project-specific costs and supporting information

When our team writes the estimate, the documentation and communication remain connected to one consistent repair scope.

Already have an estimate from another writer? Send it for a no-cost preliminary review. We will determine which information can be used and what may need to be recreated or revised.

Frequently Asked Questions

1. Can Veristra manage a supplement using an estimate written by another company?

No. Supplement management is available only when Veristra prepares the underlying Xactimate estimate. You may send an existing estimate or scope for a no-cost preliminary review so we can determine what can be used and what may need to be recreated.

2. Can I purchase an Xactimate estimate without supplement management?

Yes. Xactimate estimate writing is available as a standalone service.

3. What does the free preliminary review include?

The review is an initial evaluation of the documents provided. It helps us understand the project, identify missing information, and recommend the appropriate service. It does not include a finished estimate, complete line-by-line supplement audit, coverage analysis, or policy interpretation.

4. What documents should I submit?

Send the existing estimate, available measurements, photographs, contractor scope, supplier information, invoices, project notes, and any relevant correspondence. Our team will identify anything else required after the preliminary review.

Yes. When supplement management is included, our team handles contractor-side email and phone communication concerning the estimate, documented repair scope, quantities, photographs, code requirements, manufacturer instructions, and supporting information.

6. Are calls recorded?

Calls may be recorded when permitted and after any required notice or consent has been provided. Call notes and applicable communication records are maintained within the contractor’s project file.

No. Veristra does not interpret policy language, determine coverage, provide legal advice, or act as a public insurance adjuster.

8. Does Veristra guarantee approval or payment?

No. Veristra cannot guarantee coverage, approval, payment, or a specific supplement amount. Those decisions remain with the applicable parties. Our role is to prepare and support the contractor’s estimate using the project information and documentation provided.

9. How frequently does Veristra follow up?

Our follow-up cadence varies according to the stage and activity of the file. Depending on what is outstanding, we may follow up every other business day or make multiple contacts in one day when requested information or time-sensitive developments require it. We document our communication attempts and notify the contractor of significant updates.

10. How long does the supplement process take?

There is no universal approval timeline. The time required depends on project complexity, available documentation, response times, inspections, requested information, and the parties involved. Based on our completed supplement files handled between the date the file is submitted to carrier and the approval date, the average time from initial submission to approval was approximately 28 calendar days. This historical average is not a guarantee of timing or outcome.

11. Do you handle residential and commercial supplements?

Yes, we handle both residential and commercial supplements.

12. How is the supplement-management fee calculated?

Veristra charges 8.5% of the approved supplement increase (overage) attributable to work included in the agreement between the contractor and the property owner. The exact calculation, billing trigger, exclusions, and payment terms are defined in the service agreement.
